Minutes of the MeetingTaking notes on debates of issues discussed and any official motions adopted has several important advantages. Any time that your chapter needs to know the reason for a prior decision, the minutes provide a history, "a record of the discussion, the ultimate motion made, and the votes by the officers, on a given proposition." The minutes are an invaluable resource to which next year's officers, and subsequent officers, can refer to ascertain why a particular action was taken. The minutes become even more valuable when an administration is considering a project which previously failed. The past meeting minutes may provide some insight as to why the project didn't succeed. In summary, the reasons for taking and keeping accurate meeting minutes are as follows: 1. Keep a record of past meetings. 2. Remind the officers what unfinished business must be discussed again at the next meeting. 3. Assist future officers with questions about previous decisions. 4. Provide an accurate record of the progress of your chapter throughout the year. 5. A tool for evaluating performance. 6. Aid future officers in understanding why and how certain projects are implemented.
