The Agenda  Framework for a Successful Meeting

By now, chapter officers should have developed goals and objectives for the upcoming year.   The agenda is the framework, which will direct meeting discussions toward actions to efficiently and effectively accomplish these goals.  The agenda tells us what, where, and when.

What is the structure of the agenda?  a sample agenda appears on the following page.  (Note that "Report on the Progress of Goals and Objectives" is to be placed on each agenda by the secretary.)  Ideally, by continually scheduling a discussion of the goals, the committee will be constantly striving to achieve the planned goals and objectives.

Who should prepare the agenda?  It is best to assign the responsibility for the agenda to one officer, usually the secretary.  The important point is that one person should be responsible for compiling and mailing the agenda to the other officers several days before the meeting, to allow them to give some thought to the topics to be discussed.  Everyone who will attend the meeting should be contacted before the final agenda is drafted in order that topics, issues, or programs they are working on can be added to the list.

In summary the reasons for setting an agenda prior to the meeting are:

1.          To inform attendees of subjects to be discussed.

2.          To help direct the course of the meeting.

3.          To help record the actions taken and discussions made.

4.          To provide an indication of how long the meeting will last.

5.          To guide the group toward accomplishing its overall goals and objectives.

6.         To assist a substitute meeting chairperson, if the regular chairperson cannot attend.
